MINUTES of the May 8, 2008 meeting of the Thayer/Mammoth Spring Saddle Club

Meeting called to order @ 7:19 by president, Melvin Snethern. Waived reading of the Minutes from last month and the Treasurer’s Report… information will be available next month.

Melvin thanked John McIntare for working around the arena, fixing the water hydrant and moving the dirt around for the Cowboy Race.

The first two Ozark Cowboy Races were successful. There were 4 participants in April, and ten participants in May. The next Cowboy Race is Saturday, June 14th… Registration at 9:30 a.m. and Race starts at 10:00 a.m.

May 23 & 24... Bull Bust. Matt Palmer is to work on arena in exchange for rental fee of the arena. They will get all gate fee… all we have to do is concessions.

April’s Horse show made $128... A successful show that was a lot of fun! Due to the Bull Bust.. May horse show will be May 31st. Sign-ins begin at 6:00 with the show starting at 7:00 p.m.

Raffle Tickets are ready and available for the Buckskin/Dun Filly. Come to any event to get your tickets.

Megan asked about a Work Day… We will be having something in June.

Leza checked on a PA system a church had, said it was broken but could be fixed. She said we really need to find one before the August Horse Show. Everyone agreed.

Due to short meetings, and no new business, the newsletters are getting shorter. This leaves space available for items for sale or trade. Let Colleen know by the next meeting if you have something you would like included… horses, hay, tack, etc., etc., etc!

April 2008 Newsletter

MINUTES of the April 3, 2008 meeting of the Thayer/Mammoth Spring Saddle Club

Meeting called to order @ 7:30 by president, Melvin Snethern. President read minutes from the March meeting as Colleen had to be at work. Motion made by Leza Smith to accept minutes as read. Michelle Simms seconded, no opposition, minutes accepted as read

Michelle Simms read treasures report. Motion made by Dan Huber to accept treasurers report as read Ashley Forester seconded, no opposition, accepted as read.

Matt Palmer called and ask about having a bull bust May 23rd & 24th. They will be renting arena. We will be responsible for concession only. The rental fee is to repair holding pens and chutes. They will supply torch and welder. We will supply what materials that are needed for repairs to our specifications. Motion made by Ronnie Simms to accept this contract, David Gaines seconded, no opposition.

Ronnie Simms asked to be removed from horse raffle committee. After Ronnie's resignation horse raffle was tabled by president.

Ashley discussed horse show. The rules for horse shows were discussed and voted on by membership. David made motion to accept rules as written and modified in meeting. Seconded by Michelle Simms no opposition.

Dean Tabor talked about trail ride April 19th. Trail ride will be north of Thomasville. Directions are north on 99 3 miles to county rode 430 go 3 miles look for signs as Dean said he would have them out.

Next meeting will be May 8th at

Saddle Club Arena at 7:00 p.m.

Barb Cooper made motion to adjourn, seconded by Michelle Simms, with no further business to discuss there was no opposition.

Notice: Due to St. Jude’s not getting back with Ronnie Simms in time… we will be having our Saddle Up for St. Jude’s at a later time… Keep watching the newsletter for updates!

A short note from the secretary,

Due to unforeseen circumstances, I’ve been unable to get the newsletters out as some would prefer. I, myself, would prefer to have gotten them out sooner. Please accept my apology, and I will try to do better in the future.

My hope is that you’ll understand what’s been going on… we have two teenage children that are active in extracurricular activities, Melvin and I are both attending college classes this Spring Semester, and I have been substituting at Thayer School quite a lot. I understand that many of you are very busy also, and hope you’ll bare with me as I try to get better organized and am better able to get newsletters out in a more timely fashion.

MINUTES of the March 6, 2008 meeting of the Thayer/Mammoth Spring Saddle ClubMeeting called to order @7:28 p.m. by President, Melvin Snethern. Present were officers Melvin Snethern-President, Ronnie Simms-Vice President, Colleen Snethern-Secretary, and Michelle Simms-Treasurer and numerous members.

Colleen Snethern read the February Minutes. Motion made to accept the February Minutes as read made by Frank Bernard, seconded by Dan Huber. Voted on and passed with no opposition

Michelle Simms read the Treasurer’s Report February’s Beginning Balance $3828.96

Total Expenditures $ 178.07

Total Deposits $ 808.00February Ending Balance $4458.89Motion made to accept the Treasurer’s Report made by Travis Forester, seconded by Gary Smith. Voted on and passed with no opposition.

Work Day - March 15, 2008 beginning at 10:30 a.m. Lunch will be provided for workers only!

Equine Infectious Anemia (Coggins) Clinic with Dr. Leonard, March 22nd beginning @ 2:00 p.m.Prices are: Coggins…$14.00, Tube worm…$12.00, Vaccinate…$50.00 (Rhino/Flu/Sleeping Sickness/Strangles/Tetanus/Rabies), West Nile…$20.00

ACA RODEO WILL BE JULY 11 & 12 - 7:30 p.m.

South Central Horse Show Association - Horse show is scheduled for Aug. 8 & 9.

Horse shows will be held the 4th Saturday of each month. (April, May, June, September, and October!) Ashley Forester, Chairperson.

Ozark Cowboy Race - 2nd Saturday of each month

Preliminary running on March 29th with no prizes awarded! 10:00 am start time!

(April, May, June, September, and Finals in October!)

Community Trail Ride - 3rd Saturday of each month - April ride is @ Thomasville (Dean to get more information)

Dean also said he would like to have a Poker Run, and Treasure Hunt as part of the Community rides.

Show Clinic/Judges Seminar - scheduled Lee Yates to come April 5th. She will need $100 + Fuel costs. Limit of 12 horses. Schedule is:

9:00 - 12:30 is Halter classes

1:30 - 4:00 is under saddle (showmanship, etc)

Lee and Marshall have experience with Quarter Horses and Missouri Fox Trotting Horses.

Fees are $2 @ gate, $10 per horse if you want to be in the arena.Saddle Up For St. Jude’s - May 2 & 3Ronnie Simms will be getting more information out soon!Tickets for Horse Raffle - discussion to get tickets printed by the Quill. Play Day Chairperson - position still available… contact Melvin if you are interested! Disc - Travis and Ashley have done some footwork for the club. They found a 10’ disc, and a 12’ disc, also said could get one at R&R for $500-$1500. There was much discussion… Ashley to get more information and contact Melvin.Truck pull - we are still waiting on them… The weekend they had wanted to pull is also Thayer High School Graduation, so they haven’t gotten back with us about a date. Discussion was made about allowing them to rent the arena for $300, if they agree to put the arena back like it was, and show proof of insurance. Motion made by David Gaines, seconded by Ashley Forester.Upgrading Sound System - discussion about cost, and lack of available supplies that we want.

Signs - Gary Smith has sold some signs… we are also awaiting numerous renewals! Gary also suggested sending “Thank You” notes to some that didn’t donate money or purchase a sign but made other donations!

He also informed about bills needing to be sent to Pardner’s Saddles & Tack and Wiley’s Fence Company.Stairwell - Melvin brought up the idea of adding a stairwell from the East side of the Announcer’s Booth to make it more convenient to use the Announcer‘s booth. Travis Forester made the motion to add a stairwell, Frank Bernard seconded. Voted on and passed with no opposition.

MINUTES of the February 7, 2008 meeting of the Thayer/Mammoth Spring Saddle Club

Meeting called to order @7:13 p.m. by President, Melvin Snethern. Present were officers Melvin Snethern-President, and Colleen Snethern-Secretary and numerous members.

Colleen Snethern read the January Minutes. Voted to accept Jan. minutes as read, passed with no opposition.

By-laws - There was discussion of adding 2 advisory chairpersons to act as advisors to the officers.

Frank Bernard made the motion to amend last months proposed amendment by a change in wording from board members to advisory chairpersons. Leza Smith seconded the motion. Voted on and passed to add two appointed advisory chairpersons to aid in fulfilling the requirements for a quorum at meetings.

ACA Rodeo - after the meeting, Melvin and Ronnie met with Jay Winham, owner of JW’s Rodeo Company. He was able to provide us a better deal for an ACA Rodeo than Tommy Rand. Tommy was notified and agreed to let JW’s Rodeo Company have our rodeo… he rents bulls from Tommy Rand, so they make money either way! JW’s Rodeo Company will do the rodeo for $1500.00 plus ½ of the gate. We also receive 100 show bills. We have to pay an additional $400 for the Specialty Act (Pork Chop-if available) to be provided by JW’s Rodeo Company. This was much better than $3500 that Tommy Rand wanted.

ACA RODEO WILL BE JULY 11 & 12 beginning at 7:30 p.m.

South Central Horse Show Association - Melvin and Colleen Snethern attended the January meeting of the SCHSA. Our dues are paid and our Horse show is scheduled for Aug. 8 & 9. This was their earliest available date. Melvin brought up the idea to purchase a full page ad in the SCHSA catalog for the club to list a Calendar of Events. There was discussion of how inexpensive this advertisement will be. Gary Smith made the motion to by the $75 ad, Frank Bernard seconded the motion. Voted on and passed.

Sand for the Arena - Tabled until Dean Tabor makes contacts and gets back to the club.

Disc - Ashley to get information on a couple of discs her and Travis know about and get back to the club. There was also discussion as to how much the club would be willing to pay for a disc. Leza Smith made the motion that if we could get one for under $300 in working order that we go ahead and purchase one. Dan Huber seconded the motion. Voted on and passed.

Work Day - March 15, 2008 beginning at 10:30 a.m. Lunch will be provided for workers only!

Horse shows will be held the 4th Saturday of each month. (April, May, June, September, and October!) Ashley Forester, Chairperson, wants a clearer set of rules before shows begin to avoid potential problems. Officers to get together and assist in establishing a set of rules.

Training Clinic - Willow Springs club is having a series of clinics and Dean Tabor is to get information for the club.

Ozark Cowboy Race - 2nd Saturday of each month (April, May, June, September, and Finals in October!)

This was tabled until the officers, chair persons can meet to come up with a clear set of rules, and is to be voted on at the March meeting at the latest.

Community Trail Ride - 3rd Saturday of each month - April ride is @ Thomasville (Dean to get more information)

Dean also said he would like to have a Poker Run, and Treasure Hunt as part of the Community rides.

Judges Seminar/Show Clinic - look into and get information to bring back to the club as there was much interest.

Trying to get information from Clinician that does both gaited and stock type horses. Also was discussed about charging fees to cover the expenses of the Clinicians. Tabled until more information is gathered.

Melvin has scheduled Lee Yates to come on April 5th to do a Clinic… she charges $100 + reimbursement of fuel fees! This was less expensive than previously thought!

Round Robin Roping (Ryan Liggit) to get more information and get back to the club.

Ozark Hills Barrel Racing Association - to get more information and get back to the club, also suggested checking about another organization to hold an event.

Truck Pull - We’ve been approached to have a truck pull in the arena. $1,250 was their fee. After much discussion, it was suggested that we offer to lease the arena for $300 and have a $1,000 bond against damages. Motion made by Barb Cooper, Seconded by Gary Smith. Voted on and passed with one in opposition.

Trail Boss - It was brought up that this title needs to be changed to Community Trail Ride Coordinator, so it is now changed!

Play Day Chairperson - position still available… contact Melvin if you are interested!

Signs - Gary Smith has volunteered to sell signs for the club and to get sponsors for events. He talked with Rick Yates about painting signs for the Saddle Club. Rick wants $125 for 4x8’ signs (he furnishes board). It was agreed to leave current signs as they are and only make offer to new sign sponsors - $150 for 4x8’ signs, $75 for 4x4’ signs if Rick paints them.

Our current sign fees are $100 for 4x8’, $50 for 4x4’, and $25 for 2x4’ signs that we paint.

4-H - The Bobcat 4-H Club wants to volunteer community service work, so we will invite them to our workday on March 15, 2008! Will also get information as to how else we can help them since they want to help us!

MINUTES of the January 3, 2008 meeting of the Thayer/Mammoth Spring Saddle Club are available from the club Secretary!

This is a list of things discussed, and actions taken!

Meeting called to order @7:13 p.m. by President elect, Melvin Snethern. Present were newly elected officers Melvin Snethern, Ronnie Simms, and Colleen Snethern and 22 members and guests.

All meetings are the first Thursday night of each month with the exception of the May meeting rescheduled for May 8th. This is so Melvin & Colleen can attend the FFA Banquet with their children, Elizabeth and William. And the July meeting will be July 10th so as to not interfere with everyone’s Independence Day Celebrations!

Renewal of Memberships - Everyone needs to renew their membership as soon as possible!

Colleen Snethern read the December Minutes, Ronnie Simms motioned to accept minutes as read, Leza Smith seconded the motion. Motion voted on and passed with no opposition.

Melvin Snethern read the Treasurer’s Report (Michelle was at Kacey’s basketball game and came in later.)

Nora McIntare made the motion to accept the Treasurer’s Report as read, Ronnie Simms seconded the motion. Motion voted on and passed with no opposition.

By-laws - There was discussion of adding 2 board members to act as advisors to the officers. They will be included so the new by-laws will read that 2 officers, and 2 chairpersons/board members be present along with paid members to count in the quorum to hold an official meeting for the club. These board positions are to be appointed by the officers. David Gaines made the motion to amend the by-laws. Dan Huber seconded the motion. This will come to vote at the February meeting as per the rules of the by-laws. There are three chairpersons, they are the Trail Boss, Fun Show Chairperson and Play Day Chairperson. And with the addition of 2 board members hopefully there will be 2 of the 5 able to be at the meetings.

GATE FEE - There was much discussion of charging a gate fee to our regular monthly events (Ozark Cowboy Race and Fun Shows). Ronnie Simms motioned, Ashley Forester seconded. Voted on and passed to charge a $1.00 gate fee per person at our local events (excluding Thursday play days).

Ozark Cowboy Race - 2nd Saturday of each month (April, May, June, September, and Finals in October!)Melvin Snethern will chair this event as Ronnie wants to compete and declined the chair position due to conflict of interest. Much discussion of how to have 2 classes this year (Pro. & Amateur) or determine a way all can compete fairly (some form of handicap), and to increase entry fee increase to $20.00 (Attend all regular races and get in finals free! Or some other incentive to participate in all events), and get sponsors for prizes! This was tabled until the officers and chair persons can meet to come up with a clear set of rules, and is to be voted on at a later meeting.

Horse shows will be held the 4th Saturday of each month. Ashley Forester, Chairperson with help from Dean Tabor.

Join the South Central Horse Show Association and put on a show as one of the Saturday shows. After discussion, Leza Smith made the motion to join the SCHSA and have a sanctioned show this year. Ronnie seconded, motion voted on and passed. Melvin also mention that if we have our calendar of events that purchasing and add in the catalog the SCHSA puts out we have a better chance of drawing others to our events as these are passed out over a wide area. Melvin & Colleen attended a meeting with the SCHSA and Melvin scheduled a show for August 8 and 9. This was their earliest available date!

Equine Infectious Anemia (Coggins) Clinic with Dr. Leonard, it’s his year! Scheduled for March 22nd beginning at 2:00 p.m. I will publish price list in the newsletter next month.

St. Jude’s Ride May 2nd and 3rd J-Trans will be a sponsor (Ronnie to go back to get sponsorship), Melvin talked to K-Kountry 95 and they agreed to help out.

-BBQ Cook-off -Saturday noon

-see if local churches, or other community

organizations want to participate

-need judges (suggested - Thayer and Alton Mayors, Coach Billy Webber)

-prizes - try to get donations

-Breakfast on Saturday morning for overnighters

-Ride Friday evening ® Saturday - 2 trail rides

from the arena (one Friday, one Saturday)

also ride at the arena and play games, etc.

 

Regular Rodeo - it was discussed to have an ACA Sanctioned Rodeo with Tommy Rand. Our fee of $3500.00 to Rand Rodeo. We get 100% of gate and cook shack. Charge everyone at the gate but give cookshack coupon good for 1 burger/hot dog, and a drink to participants. Ashley made the motion, Dan Huber seconded, voted on and passed with no opposition. Leza suggested that we try to schedule for same weekend as Dogwood Daze and not at a time when there has been a big rodeo at another local arena (West Plains, Willow Springs, Thomasville, etc.) After talking with another ACA contractor (Jay Winham) that is closer and offered a better deal, Melvin & Ronnie have scheduled the Rodeo for July 11 and 12.

 

It was also brought up to have a 3-D Barrels event. Ashley to get information and get back to the club.

Judges Seminar - look into and get information to bring back to the club as there was much interest. Suggested to contact Andrea Churchill, as she has much knowledge and possibly someone for gaited horses! This will be for those who want to learn how to judge equine events and/or learn what the judges are looking for as a participant.

 

Horse Raffle purchase a yearling registered horse (gelding or filly) to be raffled off. Don Hall has volunteered to stable the horse! Don will also bring the horse to events so public can see what they are buying tickets for! Michelle Simms motioned to buy a horse for the horse raffle, Ashley seconded, voted on and passed with no opposition. Also suggested to have 4 club members as a committee to go together to purchase the horse for the club. Chosen persons for this committee are David Gaines, Ronnie Simms, Don Hall, and Leza Smith. A suggested limit of up to $300 and not to exceed $400, motioned for by Gary Smith, seconded by Michelle Simms, voted on and passed with no opposition.

Trail Boss - Dean Tabor - schedule rides and let Secretary know in time for publishing in the newsletter!

Play Day Chairperson - position still available for someone wanting to do the Thursday Playdays… let us know if you are interested!

Gary Smith has volunteered to sell 4x8 signs for the club and to get sponsors for events. Thanks Gary!
